TERMS AND CONDITIONS
REGISTRATION, ATTENDANCE & CANCELLATION POLICY
1. REGISTRATION
Participants (delegates) may register for events exclusively via the official event website. Delegate tickets cannot be purchased through any other channel unless explicitly authorised by the organiser.
All ticket purchases are processed securely via Stripe, a globally recognised online payment platform. Stripe uses advanced encryption, secure payment protocols, and PCI-DSS compliant infrastructure to ensure all transactions are handled safely. The organiser does not store or retain any credit or debit card details at any stage of the transaction process.
Payment must be made in full at the time of booking using accepted methods, including credit or debit card.
Registrations are not confirmed until payment has been successfully received and processed.
Registration fees include access to the event as specified at the point of purchase. Depending on the event and ticket type, this may include conference sessions, exhibition access, networking functions, and/or catering. Some events are fully catered, while others may be entry-only. Participants are responsible for reviewing ticket inclusions at the time of booking.
All participants will receive:
A confirmation email and receipt upon successful payment
A detailed pre-event information pack issued in the week prior to the event
A 9% service charge will be added to the advertised ticket price at the point of purchase. This charge covers third-party costs including payment processing, banking fees, currency handling, and event delivery infrastructure. The organiser does not profit from this charge.
All prices are subject to applicable taxes where required.
2. SUBSTITUTIONS (CHANGE OF ATTENDEE)
All registrations are transferable.
If a registered participant is unable to attend, their place may be transferred to another individual from the same organisation at no additional cost. Written notice must be provided prior to the event to ensure accurate badge printing and access.
3. CANCELLATION & DEFERRAL POLICY (PARTICIPANT)
All ticket purchases are final.
Once a registration has been completed, no cancellations or refunds will be permitted under any circumstances.
However, the organiser offers the following alternatives:
Substitution: Transfer the ticket to another individual from the same organisation
Deferral to another event: Transfer the ticket to a different event organised by the organiser
Deferral to a future edition: Transfer the ticket to the same event in the following calendar year
All requests must be submitted in writing prior to the event. The organiser will make reasonable efforts to accommodate such requests but reserves the right to apply administrative conditions where necessary.
All transfers and deferrals are non-refundable and must be used within a reasonable timeframe as determined by the organiser.
4. CANCELLATION, POSTPONEMENT OR CHANGES BY THE ORGANISER
The organiser reserves the right to modify the event program, speakers, venue, format, or schedule at any time.
In the unlikely event that the organiser cancels or postpones an event, all tickets are strictly non-refundable.
In such circumstances, the organiser will provide one of the following options:
Transfer to a similar or related event
Transfer to the rescheduled event date (where applicable)
Credit for a future event (subject to a specified validity period)
Allocation of tickets or credit will be managed at the organiser’s discretion to ensure equivalent value.
The organiser shall not be liable for any additional costs or expenses incurred by participants, including but not limited to travel or accommodation.
5. FORCE MAJEURE
The organiser shall not be held liable for any delay, modification, or cancellation of the event due to circumstances beyond its reasonable control, including but not limited to:
Natural disasters
Acts of government or regulatory authorities
War, terrorism, or civil unrest
Strikes or labour disputes
Pandemics or public health emergencies
Failure of utilities or infrastructure
In such cases, no refunds, compensation, or liability shall arise.
6. LIABILITY
The organiser shall not be liable for any loss, damage, injury, or expense incurred by participants in connection with the event, including but not limited to travel, accommodation, or personal belongings.
Participants attend the event at their own risk.
7. PHOTOGRAPHY, FILMING & MARKETING
By attending the event, participants grant the organiser and its partners the right to capture and use photographs, video, and audio recordings for marketing, promotional, and editorial purposes across all media channels.
Participants who do not wish to be recorded must notify the organiser in writing prior to the event.
If registering on behalf of others, you confirm that you have obtained their consent.
8. DATA PROTECTION
By registering, participants consent to the collection and use of their personal data for event administration, communication, and relevant promotional purposes in accordance with applicable data protection laws.
Participant data may be shared with event partners and sponsors where relevant to the event experience.
9. EVENT CONDUCT
The organiser reserves the right to refuse entry or remove any participant whose behaviour is deemed inappropriate, disruptive, or unsafe, without refund.
10. GENERAL
These Terms & Conditions apply to all participants, sponsors, exhibitors, and attendees unless otherwise agreed in writing.
The organiser reserves the right to update these Terms & Conditions at any time.
